THIS IS NOT YOUR TYPICAL SPONSOR/EXHIBITOR EXPERIENCE! GTSC prides itself on the integral relationship we build with our global sponsors during our meeting.  We learn together, dine together and create shared memories without the typical barriers that separate you from the direct one-on-one networking that occurs at other traditional conferences.  GTSC has developed a straight forward beneficial package that allows sponsors and exhibitors full access to all GTSC scientific programming and social events; providing one-on-one networking opportunities with key decision makers within the general thoracic surgical field!

For over 30 years, GTSC has been the “Who’s Who” of surgeons committed to the practice of general thoracic surgery. NEW - Exhibitor Wine Walk
You spoke and we listened! GTSC will hold its first ever Exhibitor Wine Walk, which is included with your exhibit booth purchase! After the Thursday educational program from 5:30pm - 6:30pm, attendees will gather in the exhibit hall where they will be divided among the exhibit tables, enjoy a sample of the provided wine, and listen to the your 2–3 minute 'elevator pitch'. After three minutes, attendees will enter the answer to the exhibitor's secret question on the mobile app, before moving onto the next table. Those who visit each booth and have answered all secret questions by the end of Saturday's educational session will be entered into our grand prize drawing! The drawing will take place during the evening Gala Dinner. Attendees who can’t attend the wine walk will still be able to visit booths throughout the conference, answer the secret question and be entered in for the grand prize drawing.

Exhibiting: If you would like to exhibit at the Annual Meeting, please complete the submission form. Payment is due by January 31st, 2023 in order to secure your spot and for inclusion on the GTSC website and marketing materials.

Sponsoring: If you are interested in sponsoring at the Annual Meeting, we welcome you to view our prospectus! Once your company has established which opportunity(ies) you would like to commit to, please email info@gtsc.org so we may send you a Letter of Agreement. Support agreements and payment is due by January 31st, 2023 in order to secure your spot and for inclusion on the GTSC website and marketing materials.

2023 Exhibitor Information

HOTEL
Please make your reservation at the Hawks Cay Resort before the group rate of $295/night expires at 5pm PT on February 9th, 2023. Reservations can be made by calling 1-800-432-2242 and referencing the GTSC 2023 Annual Meeting, or by going online and enter the Group Reservation Code: GTSC2023.

For suites, accessible guestrooms, to extend your stay outside of the room block or other room related questions, please contact Zak Allen at zak.allen@hawkscay.com or 305.289.5075.

Guarantee Policy: Deposit equal to one nights room charge required by valid credit card at the time of booking. 

Cancellation Policy: Cancel 8 days prior to arrival to receive refund of deposit. Early departure or no shows are considered cancels and forfeit amount equal to entire stay.

The GTSC registration desk will be in the Dolphin Foyer unless otherwise noted. The hours are as follows:

EXHIBIT HALL HOURS (Dolphin Ballroom)
Exhibit Setup Thursday, March 9th from 10:30am - 12:30pm
Open Hours Thursday, March 9th from 1:00pm - 6:30pm & Friday, March 10th and Saturday, March 11th from 8am - 12pm

     Breaks in the exhibit hall will occur Thurs. from 3:15pm - 3:40pm & Fri./Sat. from 9:45am - 10:05am
Tear Down Saturday, March 11th: 12pm - 2pm

Please note, the tabletop exhibits will not be in a locked area. All representatives are free to attend the scientific sessions and all meal functions, allowing them additional networking opportunities with the attendees. Attendance by representatives at their tables is at their discretion.

EXHIBIT BOOTH
Each company will received one covered and draped 8’x30’ table, two chairs, one table tent with company name, existing lighting and standard heating & A/C. Feel free to bring personalized display items for your booth.  

DECORATOR
Professional decorator services are not available at the GTSC Annual Meeting.

SHIPPING INSTRUCTIONS
Hawks Cay Resort has limited amount of storage space. For this reason, any packages sent to the hotel should arrive no earlier than Monday, March 6th. Packages shipped to/from the hotel could be assessed a receiving, handling and/or storage fee.

EXHIBIT LOCATION & SPACE ASSIGNMENT
To maximize interaction with conference delegates, all exhibit tables will be placed in the Dolphin A Ballroom, next to poster boards and the coffee service. Exhibit spaces are not assigned and are on a first come, first serve basis.

REGISTRATION LIST
An electronic copy of the attendee list will be provided in mid-February and after the conference. A digital copy of registrants will be included on our mobile app. Please note, we can only send names and contact information of the attendees who opt in.
